Overview
Release 374 is a substantial update that brings three major new capabilities: an Activity Log that tracks every change made to records across the system, a significantly redesigned AI Chat panel with folders, search, and conversation management, and a new Custom Fields settings area for tailoring data capture to your organisation's needs. In addition, sharing has been extended to Retentions & Deletions and Asset Groups, and a number of usability improvements and bug fixes are included throughout.

What's new
Activity Log (Change History) [NG-6402, NG-6403, NG-6650, NG-6652, NG-6653, NG-6654, NG-6660]
A new Activity Log is now available on 18 detail pages across the application (including ROPA, DPIA, Vendors, Assets, Asset Groups, TOMs, Projects, Incidents, Policies & Documents, and more). You can open the log by clicking the clock icon in the toolbar of any supported record.
- The log displays a chronological timeline of all changes: who made them, when, and exactly what field values were added, modified, or removed.
- Workflow events (approvals, rejections, review steps) are shown as distinct entries alongside field changes.
- You can filter the log by date range, user, and change type to quickly find what you are looking for.
- For legacy entries where the user account is no longer active, the display now shows "User unavailable" instead of "Unknown".
- The Activity Log button is hidden when viewing a record in Sharing or Consulted mode, and is disabled for record types that do not support change tracking.
- Access to the Activity Log is governed by the
P_GET_CHANGESpermission, so visibility is controlled by your organisation's role configuration.
AI Chat — Redesigned Panel [NG-6234, NG-6237]
The AI Chat panel has been fully redesigned and expanded with conversation management capabilities:
- Folders: Conversations can be organised into folders. Create a folder and move conversations into it using drag-and-drop or the context menu.
- Search: A search bar lets you find conversations by name across all folders.
- Rename: Any conversation can be renamed directly from the sidebar.
- Drag-and-drop reordering: Conversations and folders can be reordered by dragging them within the sidebar.
- Improved message display: Message content, options, and interactive blocks are rendered in a cleaner, more structured layout.
- A loading indicator is shown while the assistant is preparing a response.
Custom Fields Settings
A new Custom Fields section is available under General Settings. Administrators can define custom fields that appear on records across the application, allowing teams to capture organisation-specific data without workarounds. Fields can be configured with labels in multiple languages.
Sharing extended to Retentions & Deletions and Asset Groups
Sharing workflows are now supported for Retentions & Deletions records and Asset Groups, consistent with the sharing functionality already available for other record types (ROPA, Vendors, TOMs, etc.).
Departments management page
A dedicated Departments management page is now available under General Settings, making it easier to maintain the list of organisational departments used across the system.
Password uppercase detection on login [NG-6699]
The login screen now detects when Caps Lock is active and alerts you, helping to avoid failed login attempts caused by accidental capitalisation.
Improvements
- ROPA – Standard filter: The standard dropdown filter in ROPA now correctly handles custom standards, ensuring they appear and filter as expected.
- Sharing – Load from organisations table: Clicking a row in the "Load from organisations" table now correctly toggles the checkbox for that row, restoring the expected interaction [NG-5501].
- Sharing – Asset Groups: Download-changes and unlink buttons now work correctly for Asset Group sharing records [NG-4906].
- Sharing – accept all changes: Accepting all changes for Retentions & Deletions records now works correctly [NG-4906].
- Sharing – change tracking: The
timestampDurationfield is no longer incorrectly included in sharing change tracking, and time unit values are now correctly translated [NG-4906].
- Detail pages – post-save navigation: Fixed a post-save navigation error check that affected four index pages [NG-6422].
- Toast notifications: Confirmation toasts across the application have been updated to a consistent new layout — with correct button styles, translated labels, a white close button, and reliable close-on-click behaviour [NG-6433].
- Consulted mode navigation: Navigating to a consulted element via the previous/next arrows now correctly marks the element as consulted [NG-6660].
- User display names in Activity Log: Display names are now refreshed from the live user list, preventing stale names from appearing in the log [NG-6660].
- Workflow email translations: Errors in the translation of workflow email templates have been resolved [NG-6436].
- Japanese translations: A number of incorrect Japanese translations have been corrected [NG-6444].
- AI Chat – selected conversation highlighting: The currently active conversation is now correctly highlighted in the sidebar.
Fixes
- [NG-6660] Activity Log button incorrectly appeared on sharing elements after a fallback — now hidden in those contexts.
- [NG-6654] Activity Log button was shown for element types that do not support change logging — the button is now correctly disabled for those types.
- [NG-6653] Several labels in the Activity Log (vendor type, applicable regulations) were missing translations — all 18 locales are now covered.
- [NG-6652] Legacy changelog entries with no associated user previously showed "Unknown" — now correctly shown as "User unavailable".
- [NG-6433] Several confirmation dialogs used an outdated toast API and showed inconsistent styling — migrated to the unified toast system.
- [NG-6421] Post-save navigation error handling was missing on four index pages — now correctly implemented.
- [NG-6436] Two runtime errors in the workflow email translation process have been resolved.
- [NG-6444] Japanese translation errors corrected.
- [NG-5501] Clicking a row in the "Load from organisations" table did not toggle the row's checkbox — fixed.
