What's new
Group Management
Organisations with multiple companies can now use the new Group Management feature to share compliance objects — such as processing activities, TOMs, vendors, assets, and more — across entities. Key capabilities include:
- A new Sharing section under Compliance Settings, where administrators can configure which objects are shared with which companies.
- A Companies management screen under Compliance Settings for viewing and administering the companies in your group.
- Shared objects are clearly labelled in lists and detail views, so users always know whether they are viewing a locally owned or a shared (group-managed) record.
- Child objects can be created from a parent company's records and are visible within the child company's workspace.
- A dedicated Group Management sharing view allows users to see all linked and shared elements across the group at a glance.
- Indicators (badges/icons) on list tables show which records originate from group management. [NG-3553]
Notes Module
A new Notes module has been introduced, allowing users to attach notes to compliance objects across the platform. [NG-3498, NG-3499]
External Recipients for Assets [NG-3696, NG-3695]
Assets now support linking External Recipients, consistent with how external recipients are managed in ROPA. The applicable regulations field has also been moved to the Asset general screen.
Switzerland FADP Support
The Swiss Federal Act on Data Protection (FADP) has been added as a selectable applicable law / regulation throughout the platform, including in ROPA and related modules.
ROPA — International Transfers for External Recipients [NG-3703]
External recipients in ROPA now include dedicated fields for recording international transfers, bringing the ROPA module into closer alignment with GDPR Art. 44+ documentation requirements.
Improvements
- ROPA — Applicable Laws dropdown: The applicable laws selector in ROPA has been fixed and improved; the dropdown now functions correctly and reflects all available law options including FADP and LGPD (duplicate LGPD entry removed). [NG-3754]
- ROPA — Legal Basis for Special Categories and Standard Contractual Clauses: Additional legal basis options — including those for special categories of personal data and Standard Contractual Clauses (SCCs) — are now available in the ROPA form. [NG-3753]
- ROPA — Processor type conditions: The ROPA form now applies the correct conditional logic depending on whether the processing activity is recorded as a controller or processor. [NG-3694]
- ROPA — Vendor country display: The country of the linked vendor is now shown within the ROPA external recipients section.
- Organisational Units — tab visibility: Certain tabs in the Organisational Units settings screen are now hidden when not relevant to the current context. [NG-3746]
- Selectable table (sharing): The table used to select objects for sharing has been substantially improved, now supporting multi-level display and automatic pre-selection of already-shared items so they are not offered as duplicates.
- Retentions & Deletions: It is now possible to create a retention record using an object from another company in the group.
- Header — company name display: The currently active company name is now more clearly highlighted in the top navigation, with an updated colour style.
- Create button styling: Minor spacing and visual alignment of the create button and search bar have been improved across list screens.
- Date fields: A missing date field in certain group management screens has been restored.
Fixes
- Child object flow: Several navigation and redirect errors in the child object creation and editing flow have been resolved.
- Downloadable files per company: An issue where downloadable files were not correctly scoped to the active company has been fixed.
- Switch table (company selector): A bug that caused incorrect behaviour when switching between companies in sharing tables has been fixed. [NG-3752]
- Organisational Units — update: A bug that prevented Organisational Unit records from saving correctly has been resolved.
- LGPD duplicate entry: A duplicated LGPD entry in the applicable laws list has been removed.
