Assigning Audiences to Elements
You can manage the access to elements if you have data protection manager, data protection coordinator, information security manager, or information security coordinator privileges.
To manage access, go to the specific element - for example, a particular record of processing activity. On the upper right side, you will see three horizontal dots. Click on these three dots to see a drop-down and select Manage Access.
You will be guided to a page where you can select from drop-downs the audiences or users who should get access to the specific ROPA.
When selecting audiences, you will see the audience name with either a read or a write flag. This means the particular audience can have only read or also write access, depending on what you defined in the Audience Management settings. You can add multiple audiences to one element.
Suppose you have a processing activity called Newsletter and want to grant access to four individuals within the Marketing department. In this case, you can create a group called Marketing Team under Group Management in the Compliance Settings and give it either write or read permissions. Then, assign the group to this specific Newsletter processing activity as described above.
