Overview

Release 106 brings three major additions: a structured document approval and review workflow that lets you assign reviewers and track sign-offs directly within Policies & Documents; an AI-assisted generation panel that can suggest content for ROPA entries and other records; and updates to international standards controls. Several usability refinements and bug fixes are also included.

What's new

Document Approval & Review Workflow

Policies and Documents now support a formal review and approval process. When editing or creating a document, you can:

• Assign reviewers – select one or more users who must review the document before it is approved.

• Track approval status – a dedicated reviewers panel shows each reviewer's current status (pending, approved) and highlights the currently logged-in user in the list.

• Control reordering – reviewer order is locked once any reviewer has already approved, preventing accidental changes to a completed review chain.

• Confirm new versions – a confirmation step is required when publishing a new version of a document, ensuring version history remains intentional and auditable.

• Email notifications – reviewers receive an email notification when they are assigned to a review.

AI-Assisted Content Generation

A new AI panel is available within supported records (including ROPA). You can:

• Open the AI panel alongside any record using the new AI button in the toolbar.

• Choose between prompt types and enter a custom prompt to guide the AI.

• Use the Generate button to receive AI-suggested text, which you can then review and apply manually.

• The panel includes a loading animation while the AI processes your request, giving clear visual feedback.

The AI panel is only shown when AI is activated for your organisation.

Applicable Laws in ROPA

ROPA records now include an Applicable Laws field, allowing you to document the specific legal basis or statutory references relevant to each processing activity.

Improvements

• Policies & Documents – review panel layout: the review configuration switch is now displayed next to the breadcrumb navigation, making it easier to activate the review workflow without leaving the record view.

• ROPA general form: the general section of the ROPA creation and editing form has been substantially restructured for clarity and completeness.

• International Standards – controls: the controls reference data for international standards has been updated to reflect the latest content.

• AI panel – design: the AI panel has a refined visual design, including adjusted button sizing, textarea styling that adapts to the selected prompt type, and a smoother close button.

• Audience management: the Audience, Notifications, Assigned Users, Assigned Companies, and Assigned Permissions components have received minor usability fixes to prevent white-screen errors and missing properties.

• Dropdown menus: scrollbar styling and spacing have been standardised across dropdown components.

• Translations: new and updated translation keys have been added across all supported languages (CS, DA, DE, EL, EN, ES, FI, FR, IT, JA, NB, NL, PL, PT, PT-BR, RO, SV).

Fixes

• [NG-71] Audiences – white screen: opening certain audience records no longer causes a blank screen.

• Logs – white screen [NG-107]: accessing the activity log no longer results in a white screen under specific conditions.

• ROPA – personal data field: a data migration issue affecting the personal data source identifier in ROPA records has been resolved.

• Document filenames: incorrect filename handling when attaching files to documents has been corrected.

• Subcategory locale: a missing property in subcategory localisation that could cause errors has been fixed.

• Confirm button – same version: the confirm button is no longer incorrectly active when no new version has been created.

• GDPR 2018 reference: a fix has been applied to correctly handle the GDPR 2018 legal basis reference.
