Report Explorer

Overview

Report Explorer enables the creation of detailed documentation based on the data stored on the platform. You can choose between two types of reports:

Individual Report:
Create reports containing specific information about selected elements. For example, you can generate a report on your vendors, including all relevant data and linked elements.

Compliance Report:
This report provides a comprehensive overview of international standards and regulations implementation. It includes details on implementation status, applicability, and progress and is generated in Word format—ideal for accreditation audits or other assessments.

Both types of reports can be downloaded after creation, allowing for easy sharing and use of the compiled information.

Create a Report

Navigate to Document > Reports and click Create to generate a new report.

Individual Report

Select the Create Individual Report option and provide the following details:

  • Name: Assign a name to the report.
  • Organization: Select one or more organizations from the dropdown menu for which the report will be created.
  • Element Types: Define the element types to be included (e.g., ROPA, TOMs, vendors).
  • Languages: Choose the report’s language. You can select multiple languages if they are activated on your platform.

For all selected elements, a field will appear:

  • Use toggles to specify whether logs (previous entries) should be displayed in the report.
  • Decide if information on the responsible persons for the elements should be included in the report.
  • If you want links to the associated files to be shown in the report, toggle Document Links to “Yes.”
  • Select the desired filters inside the white bar, which may vary depending on the element. At least one filter must be chosen. Make these settings for all selected elements.

You will see the estimated size of the report displayed on the left.

  • Decide whether to create the report for the current moment or a specific timeframe. If a timeframe is selected, specify the range using the calendar.
  • File Type: The report is available as a PDF.
  • Template: A Priverion Base Template is available.
  • Click Save to generate the report.

Compliance Report

Click Create, select the Create Individual Report option and provide the following details:

  • Name: Enter a name for the report.
  • Standard or law: Select the standard or law for which the report will be created.
  • File Format: Compliance reports are currently available in Word format.
  • Click Save to generate the report.

Viewing a Report

On the overview page, you can see a list of your reports. Once the status shows as completed, the report is available for download. Click on a report to view its general information, such as name, type, and creation date.

Under the Files tab, you will find a list of all documents available for download. A separate report is generated for each selected language.

Each report is assigned a unique ID as a sequential number. Hyperlinks simplify navigation within individual reports.
