Release 309 introduces a comprehensive Workflow management expansion — including a new Workflow Queue view, Workflow Constants, Email Templates, and an Integrations screen — alongside targeted improvements to sharing, filtering, and linked-element handling across the platform.

Overview

This release delivers several major additions to the Workflow module: a dedicated Queue view to monitor running and completed workflows, a Constants management screen, and a fully featured Email Template editor. A new Integrations screen (under IT Settings) allows connecting cloud providers such as AWS, Azure, and GCP. In addition, a number of improvements and fixes address sharing behaviour, filtering, and linked-element consistency across ROPA, Vendors, Assessments, and other areas.

What's new

Workflow Queue view [NG-5091]

A new Queue page is now available within the Workflow section. It lists all active and recently completed workflow runs with key details such as the triggering user, the associated record, relevant dates, and current status. From the queue you can navigate directly to the linked record, and — where permitted — stop a running workflow using the new Stop action.

Workflow Constants management [NG-4658]

A dedicated Constants screen has been added to the Workflow section. You can create, edit, and delete reusable constant values (including secrets) that can be referenced inside workflow configurations, reducing duplication and improving maintainability.

Workflow Email Templates [NG-4659]

A new Email Templates screen is available in the Workflow section. You can define named email templates — including subject, body, dynamic variables, responsible persons, and file attachments — and reference them from workflow nodes. The editor validates variables at save time and reports any unresolved placeholders. Import and export of email templates is also supported.

Integrations screen [NG-4349]

A new Integrations page has been added under IT Settings. It allows administrators to configure connections to external cloud and identity providers (AWS, Azure, GCP). Each connector card shows connection details and a Test Connection action to verify credentials without leaving the screen.

Workflow interval scheduling

Workflows can now be configured with a numeric interval input, enabling time-based scheduling rules alongside the existing trigger options.

Improvements

  • Workflow cards now show the vendor/provider type directly on the card, making it easier to identify connector context at a glance.
  • Sharing — filter by "Shared with" [NG-5226]: A new filter option lets you narrow record lists to items shared with specific organisations.
  • Assessment Templates: Template checks have been streamlined; the template list no longer shows irrelevant entries when working with finished assessments.
  • ROPA: The linked external recipients field now uses the correct field name, improving consistency with other linked-element fields.
  • Linked elements: Validation has been added for remove and unlink operations to prevent inconsistent states when working with child or shared objects.
  • Workflow email templates: Responsible persons can now be selected via a multi-select control directly on the template creation form.
  • Workflow actions toast notifications: Workflow-related actions (start, stop, complete) now surface contextual toast notifications so you are immediately informed of the outcome.
  • Required actions list: The required-action layout has been updated with minor display improvements for better readability.

Fixes

  • ROPA — Linked external recipients field name was incorrect and has been corrected.
  • DPIA — UUID handling has been fixed to avoid duplicate or missing identifiers on DPIA records [NG-5189].
  • Vendor — Updating linked elements on a Vendor record now correctly propagates changes.
  • Workflow — The status button is now correctly disabled when a record is in a shared state, preventing unintended status changes.
  • Workflow email templates — The element type was incorrectly set and has been corrected.
  • Workflow constants — An unused import that could cause navigation issues has been removed.
  • Sharing — Shared-object validation in utilities has been tightened to prevent inconsistent sharing states.
  • Assessment — Status updates now handle cases where the previous status value is stored as a string, preventing silent failures.
