Downloading an element

Once you share elements with your other companies, you can download them for your other organizations. This guide explains more about sharing elements.

To do this, click on your company's name at the top right corner and select the company. If you cannot find the company you are looking for, your user account might not be registered with that company.

Loading an Element from the organization

On any overview page in your data protection documentation, the Create button gives you the option to manually create a new element or load it from the organization. This latter option is the one you choose when downloading shared elements. Click the Load from organization button to be redirected to a new page with a list of all such elements that have been shared with your company. Select the element you wish to download and click the Next button.

Select the organizational unit

Now, you will be asked to select the organizational unit. Click Next to continue.

Selecting linked elements

The next page lets you choose the linked elements of the element you would like to be made available. By default, all linked elements are selected. But if you wish to exclude some linked elements from the download, you may deselect them. If you do so, the element will be listed under the Do not download tab on the page. Click the Next button.

Setting Access

Lastly, you will be asked to set the access. Commonly, only some users need access to the element you are downloading, while others don't. This is why you can restrict the access right from the beginning. Select the audiences who should have access and deselect those who should not. Click Save when you are done.

De-link the element

Write Access may be restricted if the element is maintained by another organization or the Priverion Library. In this case, you must de-link the element from the organization that maintains it or de-link it from the Priverion Library. Click on the link icon next to the owner company and confirm. This cannot be undone. On de-linking, the element becomes a locally managed record.
